What Full Service Means at Z-AGENCY
It means you order a result. Send us the headcount, the city and the date, and in record time you get a proposal for the whole event: venue, schedule, program, food and a budget broken down into clear line items.
Once you approve it, we take over the negotiations with the hotel, the caterer, the bus company and the performers. On the day, our production team and instructors run the event. You are a guest.
Full service takes time and coordination, and it has to be priced accordingly. Keep in mind that the negotiations involve not only our capacity but also the capacity and dates of partners and subcontractors. That is why we need you to work with us and make decisions reasonably fast.
We cannot hold reservations at five hotels for months, especially for a peak-season date and a large group. We would lose the good relationships with our partners very quickly.
If your decision process is longer, or you are under budget pressure, we are happy to send you a list of partners so you can arrange the individual items directly. In that case we focus entirely on organizing a memorable team-building program for you.
Want to know how such an event is planned step by step? We wrote a detailed article about it. Here is everything we take care of.
What We Do Ourselves and What We Do Through Partners
We are the direct provider of the team-building programs, not a broker. The instructors, hosts, game platform, tablets, costumes, props and basic audio and video equipment for the program are our own.
Accommodation, catering, transportation, stage, professional sound and performers come from partners we have worked with for years and whose work we know from our own events.
What we do not have in stock, we arrange: a stage in a meadow, an airport transfer for your guests, a buffet reception in a chateau park, fireworks at the hotel. You do not deal with any of it. One supplier and one contract cover the whole event.
Everything We Take Care Of
- Program. Our own programs for small teams and for events with hundreds of people: adventure team building with a storyline (Indiana and the Holy Grail, Sherlock Strikes Back, Just Like James Bond), Treasure Hunt on tablets, Escape Box for up to 70 people at once, Brain Party for up to 500, a sports day for up to 3,000 participants, creative workshops, Chocolate Day and the Don Maccarone company party. Everything in English and Czech.
- Venue and accommodation. 91 tried and tested hotels, chateaux and resorts across the country. For each one we know the hall capacity, parking and travel time from Brno and Prague. We build a corporate event with accommodation around the type of event, not around a catalog.
- Catering. Coffee breaks, lunch, buffet receptions, barbecue, gala dinners, refreshments during the program. We arrange catering for your corporate event with partner caterers or the hotel kitchen, whichever works better for you.
- Transportation. Buses from your office or hotel to the venue, transfers between locations, coordinated arrivals. On request, a vintage bus as part of the experience.
- Evening and entertainment program. Bands, DJs, a host, fire and LED shows, acrobats, sword fighters, tastings, fireworks. We pick the entertainment program to match the theme of the day and your budget.
- Tech and facilities. Sound, projection, stage, lighting, a photographer, an on-site medic and a backup version of the program.
How We Work Together
- Inquiry. Headcount, city or region, date and a rough idea of the budget. The form below or a phone call is enough.
- We get back to you within one day. After a consultation you receive two or three venue options, a program, a schedule and an itemized budget.
- Fine-tuning. We adjust the program, the menu and the logistics.
- Delivery. Our production team runs the whole day. Instructors lead the program, a coordinator keeps an eye on the timing, the catering and the transportation.
- After the event. Photos from the program, competition results and, for development programs, a summary for management.
What Makes up the Budget
The price of an event comes down to five items: venue and tech, catering, program and instructors, transportation and accommodation, and contingency. Our fixed costs and commission are part of the price.
Where can you save the most? On the days and nights you spend at the hotel. Every extra night at a resort weighs heavily on the budget. We are happy to help with the itinerary so the costs stay in check.
When the Weather Does Not Cooperate
A backup program is part of every proposal, not an extra charge. The rain plan rests on three things: a reserved indoor space, a prepared indoor version of the program and an agreed time for the decision. Thanks to our own TerraHunt game platform and our indoor programs (Escape Box, Brain Party, creative workshops), the day is not canceled, it just changes shape.
When to Start Planning
Outdoor events in spring and fall and chateau venues usually need two to four months to prepare the program and secure capacity. A one-day indoor program in and around Brno can be ready within weeks. The more suppliers and transfers an event has, the earlier it makes sense to start.
For events with 200 or more participants we recommend planning a year ahead, so you can choose from as many venues as possible that can handle a group that size.
Who Full Service Is For
For HR managers, office managers and executive assistants who are in charge of an event for the whole company and do not have the capacity to coordinate five suppliers. For executives who want one contract and one point of responsibility.
For international teams where the program and the hosting have to run in English. And for companies that hold annual meetings, offsites, Christmas parties or family days and want the whole thing to hold together.
If you only need the program and already have the rest covered, that is fine too. Full service is an option, not a condition.
Frequently Asked Questions
What does a full-service corporate event include?
Venue and accommodation, the program with instructors, catering, transportation, tech, the evening entertainment and on-site production. You have one contract and one coordinator, and we are responsible for all the suppliers.
What information do you need for a first proposal?
Headcount, the date or month, the region, the type of event (team building, offsite, party) and a rough idea of the budget.
How many people can you organize a corporate event for?
From 5 to 3,000 participants. Small teams play Escape Box or Treasure Hunt. For hundreds of people we build a sports day, Brain Party or a story-driven team building in parallel groups.
Do you organize events outside Brno?
Yes. We are based in Brno, but we run events across the Czech Republic, in Slovakia and abroad. We have 91 tried and tested venues from South Moravia through the Highlands to Prague and the mountains.
What if it rains?
Every proposal includes an indoor version of the program and a reserved space. The decision is made at an agreed time. The event is not canceled, it just changes shape.
Can you run the event in English?
Yes. We run the programs and the hosting in both English and Czech, including mixed teams.
