Why Plan the Catering Together with the Program
The schedule of an event most often falls apart around the food. The worst cases? Lunch arrives in the middle of the game, the buffet opens before the final is over, the coffee break is set up in a different building from the program.
When the same team that runs the program also arranges the catering, this does not happen. We know when the morning block ends, how many people will come to the serving line at once and where the bus will be parked.
During an active program we keep an eye on hydration and light refreshments. Participants have water, fruit and a small bite available so they have energy for the whole program.
We do not offer catering on its own. We arrange it as part of a program or a full corporate event.
What We Do Ourselves and What We Do Through Partners
Z-AGENCY runs the program and the schedule. The food is prepared by a partner caterer or the hotel kitchen. We choose based on the venue, the headcount and the style of the event, and the proposal includes both options when both make sense. On site, our coordinator oversees the catering. You never have to deal with the caterer.
What Catering We Arrange for Corporate Events
- Coffee break for training, a conference or the opening of the event: coffee, tea, water, savory and sweet bites.
- Lunch as a buffet, a served menu or packed lunches for programs on the go.
- Barbecue and roasting at outdoor events: grilled meat and vegetables, a spit-roasted pig or leg of pork, vegetarian options.
- Buffet reception for a company party, cold and hot, with service and a bar.
- Gala dinner for a company anniversary, a gala evening or an awards ceremony.
- Tastings as part of the program: wine, chocolate, rum or whiskey with a sommelier.
- Bar and drinks, including non-alcoholic options for drivers.
We collect dietary requirements (vegetarian, vegan, gluten-free, allergies) in advance and pass them to the caterer by name, not by estimate.
Partner Caterer or Hotel Kitchen?
Both. For events at a hotel, the hotel kitchen is usually the better deal: it has its facilities on site and knows its hall. For events outdoors, at a castle or on company premises, a partner caterer we have worked with for years comes to you. If something on site does not fit, our coordinator sorts it out, not you.
Mobile Refreshments
Want to run the program in an outdoor area but still have coffee, lemonade, waffles or even ice cream and ice cream burgers on hand? A mobile stand can serve all of that, comfortably for 100 to 200 people during the program. And be honest: when was the last time you had ice cream in the middle of a team-building activity?
How Much Food and When
We plan the amount of food and drinks based on the total number of guests, the length of the event, the time of day and the style of service. Meal times follow the program: lunch after the morning block, not in the middle of it, and the buffet after the results are announced, not before.
For multi-day events we align breakfast with the bus departure and dinner with the evening program. For large groups we choose a buffet with several serving stations and stagger the serving by group, so people do not all have to move at once.
Frequently Asked Questions
Do you arrange catering without a program?
Most often as part of an event we organize for you, because that is where we vouch for the whole day.
Can you arrange catering on company premises or outdoors?
Yes. A partner caterer arrives with its own equipment. We check the facilities on site (water, power, shelter) in advance.
What refreshments suit an outdoor team building?
Water, fruit and small snacks during the program, and a barbecue or buffet afterwards. A heavy served menu in the middle of the day slows an outdoor program down.
Can you cater for 300 people?
Yes. For large groups we choose a buffet with several serving stations and stagger the serving by group.
How do you handle allergies and special diets?
We collect them in advance in the registrations and pass them to the caterer by name. On site, the special portions are labeled.
Who is responsible for the catering on site?
Our coordinator. You talk to one person, and that person handles the catering, the program and the transportation.
